How to book
We’ll help you through our simple booking process, and make your life easier by taking on much of the required administration.
Part of the fun of an educational tour is in the excitement leading up to departure. At Travelbound, we think this applies to group leaders too, so we’ve made the booking process as easy and stress-free as possible. We’re here to help you every step of the way, from helping you choose or tailor-make the right trip for your group, to giving you a detailed quote and promotional material to get your tour approved, and being on the end of the phone while you are away. In just a few easy steps you could be on your way to an unforgettable group study tour.
Five easy steps to booking
Step 1 - Research your trip
Browse our website to find inspiration for your next trip, choosing from an exciting range of subject-focused tours to destinations around the world. Or call our friendly team of experts located in the UK, Middle East, Australia and Asia. We can discuss your needs and even tailor-make a tour to suit you.
Step 2 - Request and receive your quote
Request a quote online or by contacting us. Within two days of requesting it, you will receive your detailed quote, which you can then use to get sign off from your senior management team.
Step 3 - Make a provisional booking
Next, place a provisional booking with us that will be held for two weeks, with no obligation to buy. You can use this time to promote your trip to the students, parents and decision-makers, using promotional and supportive material supplied by us.
Step 4 - Collect deposits
As you continue to promote your tour, you can start collecting the first deposits as students sign up for the upcoming experience.
Step 5 - Confirm your booking
Complete the booking form and send in the first deposits to confirm your booking. For air tours, we will usually require a full names list as detailed on passports. At this point, you’ll be introduced to your dedicated Tour Co-ordinator who specialises in international school tours.
Countdown to departure
Once you've confirmed your booking, your Tour Co-ordinator will help you through the next steps.
Step 1 - Confirmation pack
After booking, you will receive a confirmation pack via email with useful information and key dates including insurance policy (where applicable) and another link to our terms and conditions.
Step 2 - Passport and visa documents
As group leader you need to ensure all students obtain correct passport and visa documents for the chosen destination. For European students and schools located in Europe, you should advise students to obtain EHIC cards.
Step 3 - Second deposits
Send in the second deposits within eight weeks of the first deposits. (Where applicable).
Step 4 - Final balance
Ten weeks before departure, the final balance is due.
Step 5 - Final travel pack
Around three weeks prior to departure, you’ll receive your final travel pack, including itinerary and tickets.
Step 6 - Have a great trip
Don’t forget that we are on the other end of the phone, and you have direct access to our emergency team number.
Step 7 - Welcome back
We’ll contact you to discuss how your tour went – we love hearing your stories and value your feedback to help improve our service. And we’d like to know when you’ll be ready to take your next Travelbound tour!
